TERMS & CONDITIONS

The Reach Catering Co.

Last updated: 15 October 2026

Welcome to The Reach Catering Co.

These Terms & Conditions outline the arrangements for booking and using our catering services. By confirming a booking with us, you agree to the terms set out below, subject to any additional arrangements agreed in writing.

1. Our Services

The Reach Catering Co. provides catering services for corporate events, business meetings, weddings, private celebrations and other special occasions.

Our services may include food preparation, delivery, buffet and canapé service, waiting staff, chefs, bar services, catering equipment and event coordination, depending on the agreed package.

All services are subject to availability and individual quotations.

2. Enquiries and Quotations

All quotations are prepared based on the information provided by the client, including event date, location, number of guests, menu selections and service requirements.

Unless otherwise stated, quotations are estimates and may be revised if event requirements change.

Any applicable VAT, delivery charges, staffing costs, equipment hire and additional services will be identified in the quotation.

A booking is confirmed only when we have accepted it in writing and any agreed deposit has been received.

3. Deposits and Payments

A deposit may be required to secure an event booking.

The deposit amount, payment schedule and final balance due date will be specified in the written quotation or booking confirmation.

The remaining balance must be paid by the agreed deadline.

Additional services or changes requested after confirmation may incur further charges, which will be communicated to the client for approval.

4. Cancellations and Refunds

We understand that circumstances may change.

Clients wishing to cancel or postpone an event must notify us in writing as soon as possible.

Any cancellation charges or refunds will depend on the agreed booking terms, the notice provided, costs already reasonably incurred and applicable consumer law.

Where an event is cancelled, we will provide an explanation of any applicable charges and refund entitlement.

Deposits are not automatically non-refundable. Any amount retained must be lawful and appropriate to the circumstances.

Further details are provided in our Refund Policy.

5. Changes to Bookings

We will make reasonable efforts to accommodate changes to event dates, guest numbers, menus and service requirements.

Changes are subject to availability and may affect the final quotation.

Any additional costs will be discussed and agreed with the client before being charged.

6. Guest Numbers

Final guest numbers must be confirmed by the deadline stated in the booking agreement.

Once the final numbers have been agreed, reductions may not result in a corresponding reduction in charges where food, staffing or equipment have already been committed.

Additional guests may be accommodated subject to availability and additional charges.

7. Menus and Dietary Requirements

We aim to accommodate dietary requirements, including vegetarian, vegan, halal, gluten-free and other specific requests, wherever reasonably possible.

Clients must inform us of all relevant dietary requirements and food allergies sufficiently in advance of the event.

We take food safety and allergen management seriously. However, where food is prepared or handled in environments containing allergens, we cannot guarantee the complete absence of cross-contact unless specifically confirmed in writing.

Any necessary menu substitutions will be discussed with the client wherever practicable.

8. Food Safety and Service

All food is prepared, transported and served in accordance with applicable food hygiene and safety requirements.

Food should be consumed within the recommended service period.

Where food is left with the client following delivery or service, appropriate storage and handling instructions should be followed.

9. Venue Access and Facilities

The client is responsible for ensuring that the event venue provides suitable access and any facilities agreed as necessary for catering services.

These may include electricity, water, preparation areas, loading access and appropriate service space.

Any restrictions, including limitations on cooking equipment or open flames, must be communicated before the event.

Additional costs arising from previously undisclosed venue restrictions may be chargeable where reasonably incurred and agreed.

10. Staffing and Equipment

Where staffing or catering equipment is included in the booking, the details will be specified in the quotation.

Any additional staffing hours must be agreed and may incur additional charges.

Equipment supplied by The Reach Catering Co. or its hire partners remains the property of its respective owner.

The client may be responsible for reasonable costs arising from loss or damage caused by the client or their guests, excluding fair wear and tear.

11. Event Timings

Service times, delivery schedules and collection arrangements will be agreed before the event.

We will make reasonable efforts to adhere to the agreed schedule.

Where delays caused by the client or venue result in additional staffing or equipment costs, these will be discussed with the client.

12. Circumstances Beyond Our Control

Neither party will be responsible for delays or failures caused by circumstances beyond their reasonable control, except where responsibility cannot lawfully be excluded.

If unforeseen circumstances affect an event, we will communicate promptly and seek a reasonable solution, which may include rescheduling, alternative arrangements or an appropriate refund.

13. Liability

The Reach Catering Co. will exercise reasonable care and skill in providing its services.

We are responsible for losses caused by our breach of contract or failure to exercise reasonable care and skill, as required by applicable law.

Nothing in these Terms & Conditions excludes or limits liability for death or personal injury caused by negligence, fraud, or any other liability that cannot legally be excluded.

Nothing in these terms affects a consumer's statutory rights.

14. Complaints and Feedback

We value customer satisfaction and welcome feedback.

If any concerns arise during an event, clients are encouraged to notify our event manager as soon as possible so that we have an opportunity to address them.

Formal complaints may be submitted by email, and we will aim to respond promptly and fairly.

15. Privacy and Personal Information

Personal information collected during enquiries and bookings will be handled in accordance with our Privacy Policy and applicable UK data protection legislation.

16. Governing Law

These Terms & Conditions are governed by the laws of England and Wales, subject to any mandatory legal protections applicable to the client.
