REFUND POLICY
The Reach Catering Co.
Last updated: 15 October 2026
At The Reach Catering Co., we understand that plans can sometimes change. We aim to provide a fair and transparent approach to cancellations, postponements and refunds while recognising the preparation, staffing and resources involved in delivering our catering services.
This Refund Policy applies to bookings made with The Reach Catering Co. and should be read alongside our Terms & Conditions and individual booking agreements.
1. Booking Deposits
A deposit may be required to secure your event date and confirm your catering arrangements.
The deposit amount and payment schedule will be clearly stated in your quotation or booking confirmation.
Deposits are applied towards the total cost of your booking.
If a booking is cancelled, any refund or deduction from the deposit will depend on the circumstances, the agreed cancellation terms and any reasonable costs or losses incurred.
2. Cancellation by the Client
If you need to cancel your event, please notify us in writing as soon as possible.
Cancellation charges may apply depending on:
-
The amount of notice provided.
-
Food and ingredients already purchased.
-
Staffing and equipment arrangements already committed.
-
Bespoke preparations undertaken specifically for your event.
-
Other reasonable and unavoidable costs arising from the cancellation.
We will assess cancellation charges fairly, taking into account any costs saved or losses reasonably avoided.
Any refund due will be calculated in accordance with your booking agreement and applicable UK law.
3. Postponements and Date Changes
We understand that events may occasionally need to be rescheduled.
Where possible, we will work with you to accommodate a new date, subject to availability.
Deposits and payments already made may be transferred to the rescheduled event by mutual agreement.
Additional charges may apply where changes result in reasonable additional costs, which will be discussed before proceeding.
If rescheduling is not possible, the cancellation provisions of this policy will apply, subject to your statutory rights.
4. Changes to Guest Numbers
Final guest numbers must be confirmed by the deadline specified in your booking agreement.
Where guest numbers are reduced after this deadline, refunds or reductions in charges may be limited if food, staffing or equipment arrangements have already been committed.
We will consider any costs saved when assessing the final amount payable.
5. Cancellation by The Reach Catering Co.
In the unlikely event that we are unable to fulfil a confirmed booking, we will notify you as soon as reasonably possible.
Where appropriate, we may offer alternative arrangements or a mutually agreed rescheduled date.
If we cancel and cannot provide the agreed services, we will refund payments for services not provided, subject to applicable legal rights and remedies.
Nothing in this policy limits your rights where we fail to perform our contractual obligations.
6. Food Quality and Service Concerns
We take great pride in the quality of our food and service.
If you experience any concerns during your event, please inform our event manager as soon as possible so that we have an opportunity to resolve the issue.
If our services have not been provided with reasonable care and skill or do not meet the agreed contractual requirements, you may be entitled to an appropriate remedy under UK law.
Refunds or price reductions will be assessed fairly according to the circumstances.
7. Circumstances Beyond Our Control
Events may occasionally be affected by circumstances outside either party's reasonable control.
Where such circumstances arise, we will communicate promptly and explore reasonable alternatives, including rescheduling or adjusting the agreed services.
Any refund entitlement will depend on the circumstances, contractual arrangements and applicable law.
8. Refund Processing
Where a refund has been agreed, we aim to process it within 14 calendar days of confirming the refund amount.
Refunds will normally be made using the original payment method unless another arrangement is agreed.
The time taken for funds to appear in your account may depend on your bank or payment provider.
9. Your Statutory Rights
Nothing in this Refund Policy excludes or restricts your statutory rights under applicable UK consumer protection legislation.
For certain catering services booked for a specific date or period, the standard 14-day cancellation right for distance contracts may not apply.
Where a statutory cancellation right does apply, we will honour it in accordance with the law.
